Duties of Board Members
President
Leadership role in preserving the quality of life and our sense of community within our homeowners association
Possesses the authority to represent the association in its relations with other persons and organizations such as NDNA (North Dallas Neighborhood Alliance)
Organize, plan and execute regular Board Member/Block Captain meetings
Recruit new or replacement Board Members/Block Captains as needed
Upkeep of all five HOA signs; design, order and replacement parts as needed
Add sign toppers for events as well as other stand alone signs before events occur
Keep updated by Membership of new or renewing members and deliver a Welcome Letter and/or a mailbox sticker to them.
Regularly make an effort to introduce myself to new members by visiting them at their homes
Cover any responsibilities of another Board Member or Block Captain when there is a vacancy
Secretary
Keep minutes of all meetings
Email meeting notes to the web manager to be posted on the website
Perform other related duties as the president may prescribe
Treasurer
Collect dues
Has custody of the association fund
Pay bills within approved budgets
Keep an accurate record of all receipts and expenditures
Prepare periodic financial reports
Produce a financial statement for the annual meeting of the membership in November
Assist membership person at events welcome/sign-In table
Take deposits to the bank
Perform related other duties as the president may prescribe
Membership
Organize the annual Membership Drive in October
Responsible for welcome table at events
Collect member dues and party fees
Sign up new members and refer them to our website
Collect non-member party fees
Give an update on Membership at Board meetings
Track new members and let Block Captain know if they have someone new on their street
Assist in keeping records of income
Report to the President and Treasurer
Give any receipts or deposits to the Treasurer
Event Planners
Plan and organize annual events; Spring Celebration (Apr), National Night Out (Oct), Fall Social (Nov)
Events/Dates planned at Board meetings with a consensus of ideas
Communicate event details to Board for approval
Delegate duties to other Board Members and Block Captains; Sign Up Genius, etc.
Book vendors and purchase supplies for events
Be at event for set up, duration of event and tear down
Keep track of receipts and submit them to the Treasurer for reimbursement
Report event details and photos to the Website Manager
Website manager
Maintain and keep prestonwoodmeadows.org website posted with up-to-date with current events and information received by Board Members
keep track of timely payments to the website domain and submit receipt to Treasurer for reimbursement
Maintain use of Jotform or any other PMHA member tracking service used
Website Contributors
Provide website manager articles regarding events happening in our neighborhood under 'Neighborhood News' such as dog park updates, recycling reminders, new programs such as Pickleball at Campbell Green, and progress organizing M.O.P.S.
Communications
Keep PMHA laser printer, paper supply and ink on hand
Design Event flyers on Canva
Printing of communications including flyers, updated Board/Block contact info, handouts for meetings; Financial reports, maps, etc
Delivery of flyers to Block Captains homes to be distributed
Keep events updated on PMHA website and Facebook page
Keep receipts and submit any to the Treasurer for reimbursement Prepare the design of newsletters and event flyers
Submit documents to the Treasurer for reimbursement
Welcome Wagon
Arrange and deliver welcome baskets to new families that move in
ask permission for a family picture to be placed on our webpage
send the picture(s) to the website manager
Keep track of receipts

Beautification
Award Yard of the Month to two homes every month using Calloway's sign and PMHA sign, alternating winners on all 14 streets, if possible
Take pictures of yards and submit them to the website manager
Purchase $25 gift cards for winners and submit receipts to the Treasurer for reimbursement
Government Relations
Report current events at Board meetings
Submit articles to website manager regarding current events such as DART, construction progress at Brentfield, and District news impacting our neighborhood
Promote members signing up for District 12 enews
Crime Watch
Plan and organize the annual National Night Out event in October at Brentfield cafeteria
Bring notes on any current crime activity to Board meetings
Check the DPD website regularly for local crime information
Organize Volunteers-in-Patrol program if needed or other special programs such as Alley Mirrors
Keep HOA Crime Watch page on our website updated with current statistics
Write Crime Watch Corner article/statistics for our bi annual Newsletters
Duties of Committee Members
Block Captains
Handing out event flyers to each home on their block
Handing out our Bi- annual Newsletter to each home on their block
Reporting new neighbors to the welcome wagon
Optional; Hosting Halloween block parties in October
Attaching holiday bows to mailboxes
Distribute American flags to each yard on their assigned street during the months of May, July, and September and any other event where each home needs to be assisted by a block captain
There shall be a total of 14 possible block captains.
